Customer information
Privacy Policy
We collect only the information reasonably needed to answer enquiries, care for an authorised property, maintain records and meet legal obligations.
1. Who is responsible for your information
This policy applies to Thrissur Home Watch, operated by Joshi Thomas Konikkara from Kolazhy, Thrissur 680010, Kerala. For privacy questions or requests, email care@thrissurhomewatch.com, call or WhatsApp +91 94001 11820.
2. Information we may collect
- Your name, telephone or WhatsApp number, email address and correspondence address.
- Property location, type, size, condition, access instructions and proof that you are entitled to authorise our access.
- Names and contact details of authorised family members, nominees, occupants and vendors.
- Your selected plan, instructions, approvals, service messages, invoices, payments, vendor advances and refund records.
- Inspection checklists, dates and times, access logs, meter images, property photographs, video and before-and-after work records.
- Limited technical information supplied automatically by our website host or communication providers, such as IP address, browser information and security logs.
3. Why we use it
We use information only for clear service-related purposes:
- to respond to an enquiry and assess whether we can serve the property;
- to verify authority, prepare an agreement and safely access the property;
- to schedule visits, perform inspections and cleaning, prepare reports and communicate concerns;
- to obtain quotations, coordinate approved vendors and account for customer advances;
- to issue invoices, maintain business and tax records, handle refunds and resolve complaints;
- to prevent unauthorised access, fraud, loss or misuse; and
- to comply with law, legal process or a valid request from an authority.
Where we rely on your consent, you may withdraw it by contacting us. Withdrawal does not affect use already lawfully completed and may prevent us from continuing a service that requires the information.
4. When information is shared
We do not sell customer information. We may share only what is reasonably necessary with:
- a plumber, electrician, cleaner, gardener, driver or other vendor you have approved;
- WhatsApp, email, telephone, cloud-storage, website-hosting, accounting or payment providers used to communicate and operate the service;
- our professional accountant, insurer or legal adviser under appropriate confidentiality expectations; or
- police, courts, emergency services or government authorities where required or reasonably necessary to protect people, property or legal rights.
Some communication or technology providers may process information outside India under their own terms. Their independent services are also governed by their privacy policies.
5. Photographs, video and reports
Property images and reports are created for the customer’s private service record. We do not publish them for advertising, testimonials or social media without separate, specific permission. We avoid deliberately recording people, personal papers, valuables or private information unless needed to document an authorised concern.
6. Storage, security and retention
We use reasonable administrative, physical and technical safeguards, including restricted access, coded key records and controlled sharing. No system can be guaranteed completely secure.
Enquiry information that does not become a service relationship is normally retained for up to 12 months. Operational records are normally retained for up to three years after the service ends. Invoices, payment and statutory records may be retained for up to eight years or for another period required by law. Records may be kept longer where reasonably necessary for an unresolved complaint, insurance matter or legal claim, and then deleted or anonymised when no longer required.
7. Your choices and rights
Subject to applicable law, you may ask us to:
- confirm what personal information we hold and how it is used;
- correct or update inaccurate or incomplete information;
- erase information that is no longer needed or legally required;
- withdraw consent for optional processing; or
- review a privacy complaint.
Send the request from a known email address or telephone number. We may need to verify your identity and authority before acting, especially where property security or another person’s information is involved.
8. Children and other people
Our services are intended for adults who can lawfully authorise property access. If you give us another person’s details, you confirm that you have authority to do so and will inform that person where appropriate. Please do not send information about children unless it is strictly necessary for an authorised service.
9. Website links and changes
Our website may link to WhatsApp, maps, payment services or third-party websites. We do not control their privacy practices. We may update this policy when our service or legal obligations change. The current version and effective date will remain published here.
10. Grievances
Send a privacy concern to care@thrissurhomewatch.com with the subject “Privacy concern.” We will acknowledge it as soon as reasonably possible during service hours and aim to provide a substantive response within 30 days. This does not restrict any right to approach a competent authority.
